Privacy Policy

Who we are
Slate is a branded scheduling layer that helps youth-sports coaches take bookings and keep track of who owes them. Bookings, calendars, and customer records live in Square; Slate adds the coach's page, a who-owes overlay, and reminders on top.
Information we collect
- Coach account: name, email, phone, timezone, sport(s), profile photo, and bio — provided by the coach to build their booking page.
- Family / booking details:the booking parent or guardian's name, email, and phone; the athlete's first name as entered by the parent; and lesson details (type, date, time, price).
- Payment status only: whether a lesson is marked paid or owed, and how (cash / Venmo). Slate is not a payment processor and does not collect card or bank numbers.
- Technical: basic, essential request and error logs needed to run and secure the service.
How we use it
- To show a coach's booking page and take bookings.
- To send booking confirmations and reminders (via Square and email).
- To help a coach see who still owes them and send their own manual reminders.
- To operate, secure, support, and improve the service.
We do not sell your personal information, and we do not use family contact details for our own marketing.
Service providers
We share information only with the processors that run the service:
- Square — bookings, calendar, customer records, and reminders.
- Resend — transactional email (sign-in codes, alerts).
- Supabase and Vercel — database, authentication, and hosting.
Each processes data on our behalf under their own terms; we share only what's needed to provide the service.
Children's information
Slate is directed to coaches and parents/guardians, not to children. Any information about an athlete (such as a first name) is provided by the booking parent or guardian, not collected from the child. We ask coaches and parents not to enter more about a minor than is needed to schedule a lesson. A parent or guardian may request that we correct or delete their child's information at any time — email support@slatescheduler-coach.com.
Cookies
We use only essential cookies — for example, to keep a signed-in coach logged in. We do not currently use advertising or third-party analytics cookies. If we add privacy-respecting analytics later, we will update this policy first.
Data retention
We keep coach account information for as long as the account is active and for up to 12 monthsafter it is closed, then delete or de-identify it, unless a longer period is required by law. Booking and customer records held in Square are retained under Square's terms.
Security
We use industry-standard measures (encrypted connections, access controls, row-level data isolation so a coach can only see their own families). No method of transmission or storage is 100% secure, but we work to protect your information.
Your choices & rights
You may request access to, correction of, or deletion of your information — and, where applicable law provides it, ask us to limit how we use it — by emailing support@slatescheduler-coach.com. We will respond within a reasonable time and as required by law.
Changes
We may update this policy. Material changes will be reflected by a new effective date at the top of this page.
